Terms & Conditions

1. Vendor Eligibility & Booth Assignments

  • Booths are reserved on a first-come, first-served basis upon receipt of a completed application.

  • G & G Parade of Trees Foundation reserves the right to approve or deny vendor applications to ensure a diverse selection of businesses.

  • Booth assignments are made by G & G Parade of Trees Foundation and will be communicated prior to the event. Requests for specific locations will be considered but not guaranteed.

2. Payment & Refund Policy

  • No payment is required to secure your booth.

  • No refunds will be issued because there is no vendor fee.

3. Event Setup & Breakdown

  • Setup Time: Businesses may begin setting up at 8 am on Friday, November 28 and will be open at 6 am on Saturday, November 29 .

  • Vendors must be fully set up by 8:30 am on Saturday, November 29 and remain open until the drawing at 4 pm.

  • Breakdown Time: Winners of the display are responsible for taking down the display and packing the contents.

  • Vendors are responsible for bringing any additional supplies needed for their display, extension cords, step ladders

  • Each business will provide a plastic bin to put the tree ornaments in.  If providing a wreath, a door hanger is to be provided to the winner of the display

  • Businesses need to keep the box the tree came in for easy transport.

4. Booth Display & Conduct

  • All displays must be professional, safe, and contained within the assigned space.

  • G & G will provide each display with a closed container to hold tickets.  Each display will be identified with the business name and the title or theme of the tree.

  • Vendors may not obstruct neighboring booths or walkways.

  • Loud music, flashing lights, or disruptive elements are not allowed unless pre-approved.

  • Vendors must conduct business professionally and respectfully toward attendees, staff, and other vendors.

5. Liability & Insurance

  • G & G Parade of Trees Foundation, the venue, and any event affiliates are not responsible for lost, stolen, or damaged items.

  • Businesses are responsible for their own insurance, if desired, to cover their products, equipment, and liability.

  • Businesses assume full responsibility for any damages caused by their setup or products.

6. Sales & Compliance

  • If selling food or beverages, vendors must adhere to health and safety regulations and obtain proper permits.

7. Photography & Marketing

  • By participating, vendors grant permission to G & G Parade of Trees Foundation to use event photography and videography that may include business displays for marketing and promotional purposes.

8. Force Majeure

  • G & G Parade of Trees Foundation is not liable for event cancellations or disruptions due to circumstances beyond our control, including but not limited to extreme weather, natural disasters, or government restrictions.

9.  Winning 

  • Businesses may begin drawing names at 4 pm.  If no one is available to draw the names, please communicate with director.

  • Winners will be called and texted and will have 15 minutes to respond.  If there is no response, another name will be drawn and will continue until contact is made and winner is confirmed.
